How to Upload a File using YAWC
In some situations you may wish to publish a Word, PDF, or Excel file directly to the website, without converting it to a web page. You can do this using the YAWC Online service, by completing the following steps.
- Prepare the file for uploading
- Upload the file using YAWC Online
- Create a link to the published file
Prepare the file for uploading
First identify the file you wish to upload, and get some information about it.
- How large is it in kilobytes (KB) or megabytes (MB)? (The larger the file, the longer it will take for readers to download.)
- What format is it in? (The most common formats are Microsoft Word (.doc suffix), Adobe Acrobat Portable Document Format (.pdf suffix), or Microsoft Excel (.xls format).)
- What is the filename, and where should it be placed on the website? (So that you can create a hyperlink to it after you have uploaded it.)
You can find out the size of a file by opening it and using the File>Properties command to view general information about the file. If the file is larger than 2 MB, you cannot use YAWC online to upload it. Instead, forward it to your webmaster for uploading instead.
You may need to alter the filename, to make it more suitable for publishing online. In general, the filename should contain lowercase letters and numbers only. The filename should also clearly indicate its content. For example, instead of a filename of CLRG Report Final.pdf, it could be clrgreport2005.pdf.
If the publication is a formal report, it should probably be placed in the website publications folder, in the most appropriate category and year, for example /publications/commerce/2005/. If it is a more informal document, which could be updated or withdrawn in the future, it may be best to place it in the same folder as associated web pages, for example, /employment/redundancy/actualredundancies.xls
Upload the file using YAWC Online
No screencast is available to demonstrate this process yet. The following is the procedure to carry out this action.
- Start a web browser, go to www.yawconline.com, and log in using your assigned account details.
- Click on the link "Upload Documents to a
Website". The following page is displayed:
- Click the "Browse" button to select the file you wish to upload, then select the directory (folder) that you wish to upload it to. You are only allowed to publish to some folders on the website. Finally, click the "Upload" button to upload the file.
- After the file is uploaded, check that it is in the correct location by clicking on the hyperlink displayed: e.g. http://www.entemp.ie/publications/science/2006/testfile.pdf. Copy the link so that you can easily add it to a web page later.
Create a link to the published file
After uploading the file and verifying that it is in the required location, you then need to create a hyperlink to the file from one of your web pages.
Choose the most appropriate page, open the corresponding Word file, and add the name, size and format of the document, in the following way: "Actual Redundancies May 2006 (Excel format, 30KB)".
Then select all the text (including the format information), press <Crtl>+K to make it a hyperlink, and paste the link into the field in the "Insert Hyperlink" dialog box.
Publish the page in the normal way.
